Privacy Policy

O’Liberty Security School (“the school”, “we”) runs a security guard training website. This policy says what we collect, why, how long we keep it, and what you can ask us to do about it. We have tried to write it in the same plain language we use on the rest of the site.

What we collect

• Account details — your name, email address and a password hash if you sign up with us directly, or the basic profile Google shares with us if you sign in with Google (name, email address, and a Google account identifier). We never receive your Google password.
• Your account — your email address, your name, and which sign-in method you used.
• Training progress — which video segments you have watched, your answers to the per-segment check questions and your final exam result. Your progress is kept in your own browser as you work through a course. Attendance is also recorded on your account once you are enrolled: which segments you attended, when you first opened each one, and how much of it you watched. We record it because New York requires a school to be able to show that a student attended every section of a course, and to produce that record to the Division of Criminal Justice Services on request. It is the evidence that you completed the training.
• Intake information — what you enter on the intake form, used to enroll you and to tell you which course is right for you.
• Identification and verification — New York requires us to check who a student is before they attend any part of a course, so when you complete intake we record: the type of identity document you presented, its number and expiry date, the type of second document you presented, whether we saw your social security card, the last four digits of your social security number, and which member of staff checked it and when. We do not keep photographs or scans of any identity document. The full social security number is stored encrypted, in its own store, separate from everything else, and is readable only by the director or the records custodian — and every time it is read, the reason and the reader are written to an access log. We ask for it because the state’s own application for a security guard registration requires it.
• Payment information — handled by our payment processor. We do not receive or store your card number. We see the outcome of the transaction, the amount, and a transaction reference, so we can confirm your enrollment and handle refunds.
• Technical information — an IP address and basic request logging, used for security, abuse prevention and rate limiting.

What we use it for

To deliver the training you bought, to record and evidence your completion, to answer your support requests, to process payments and refunds, to prevent abuse of the learning module, and to meet any legal or regulatory obligation that applies to us as a school.

What we do not do

We do not sell your personal information. We do not use your training activity to build advertising profiles. We do not share your information with employers or with any job board — the job search on this site is a list of public openings and does not transmit your data to anyone.

Who we share it with

Only the service providers that make the site work, and only what they need:

• Our authentication provider (Supabase), which stores your account and the details you sign in with.
• Our payment processor (Stripe), which takes payments and holds card data on our behalf.
• Our video host (Cloudflare), which delivers the lectures.
• Google, only if you choose to sign in with Google.

We may also disclose information if the law requires it, or to protect the rights and safety of the school or others.

How long we keep it

Training, attendance, identification and completion records are kept for six years. New York sets a minimum of two years for a school like ours and the State Archives schedule uses six for the closest equivalent records; we keep six across the board so that a complete file can be produced for any student we have taught, at any time, if the Division asks for it. Account details are kept while your account is open. Payment records are kept as long as tax and accounting rules require. You can ask us to delete your account, and we will — except for the training and identification records we are obliged to keep, which is explained when you ask.

Your choices

You can ask to see the information we hold about you, correct it, or delete your account and the data behind it, by writing to hello@libertytrainings.com. We will respond within a reasonable time and will tell you if we cannot do something and why.

Security

Passwords are stored hashed, never in plain text. Access to student records is limited to staff, and is enforced by the database itself rather than by the screens: a student can reach their own records and nobody else’s, and cannot approve their own identification or mark themselves admitted. Social security numbers are encrypted, held separately from every other record, and reading one requires a stated reason that is written to an access log. Video lectures are delivered with per-user signed access rather than a public link, which is what keeps the learning module honest. No system is perfect, and we will tell you if a breach affects your information.

Children

This site is for people old enough to hold a New York security guard license. It is not directed at children and we do not knowingly collect their information.

Changes

If this policy changes in a way that matters, we will update the date at the top and, where appropriate, tell you in the account area.
